Municipality of Epe: Linux servers under maintenance.

Servermeister managed the Linux servers of the Municipality of Epe for four years: fixed monthly updates, certificate management and 24/7 monitoring. This allowed the in-house ICT department to focus on the rest of the organization.

The customer and the question.

The municipality of Epe is a Veluwe municipality with its own ICT department. That department mainly runs on Windows, but a few indispensable services are on Linux: the environment in which employees share documents (Nextcloud), the platform for sending files securely (FileCap) and the reverse proxy that unlocks these services to the outside world.

Linux was not a daily occurrence for the team. The municipality was therefore looking for a party to take over this part of the server park: keep track of, monitor and intervene if necessary, in close contact with its own system administrators.

The collaboration started with a Linux advice, discussed on location in Epe and then refined into a short, workable version.

What we did.

Keeping, monitoring and intervening, in close contact with the system administrators of the municipality.

Fixed update time

Every second Saturday of the month, between 02:00 and 06:00, the Linux servers received their updates. Announced in advance, fed back afterwards via a ticket.

Certificate Management

For the document environment and the file platform, we arranged the renewal of the SSL certificates: create CSR, place certificate on the reverse proxy and check if everything works. Scheduled in the evening, with about fifteen minutes of downtime.

Monitoring

All managed servers were in our monitoring, with notifications to us and to the ICT department. Planned maintenance on their side, such as replacing network components, is included in the system as a maintenance window.

Moving with changes

When the municipality moved the file platform to a new server, we adjusted the proxy rules and certificates and took over the management of the new server.

Security

With the Log4j vulnerability, the municipality asked us to check the managed systems and make an update plan where necessary.

Short lines

Questions were made via our ticket system or directly with the system administrators, by email and telephone.

Result.

For four years, the municipality had a single point of contact for its Linux environment.

  • Malfunctions came in as a report, not as a complaint from an employee

Also under pressure.

At the start of the corona measures, the municipality asked all its suppliers how they guaranteed continuity. We were able to answer the same day.

In the end, the municipality transferred its entire ICT management to one external party. We handed over the servers neatly.
